General Building Use Policies
Hall Use Policy
Performance halls are primarily used for SMTD courses, concerts, recitals, special performances, and rehearsals with the following restrictions:
- Reservations may be requested up to two weeks in advance
- Performance venues may be reserved for recordings for up to 2 hours per calendar month.
- Additional time may be requested if it is available two days in advance.
- General rehearsals may not be reserved in Britton, McIntosh, Watkins, or Cady.
- Performance and rehearsal space in the Walgreen Drama Center may be requested through the Theatre Department.

For reservations outside of normal business hours (8am-4pm, Monday through Friday) you will need to coordinate with SMTD facilities for:
- Keys/room accessibility, as well as entry access if doors need to be unlocked
- Riser seating, if applicable (WDC)
- Custodial support, if applicable
- Table requests for events
To request tables for your event in Moore or Walgreen/Stamps Auditorium, please submit through the Facilities- Table Request Form.
General Housekeeping
- Buildings are cleaned on weekday evenings.
- Please make sure all trash is disposed of in appropriate trash and recycling bins and the room.
- Check first with SMTD Facilities if there will be food or drink at your event.
Room/Building User Guidelines
- No street shoes can be worn inside the studios.
- All Dance Studios, Newman, Studio 2, Towsley, B222, PCRR
- No food or drinks are allowed in the studios except water.
- All Dance Studios, Newman, Studio 2, Towsley, B222, PCRR
- Nothing can be placed on the pianos and piano covers should not be removed.
- Pianos should never be moved without permission from the SMTD Piano Tech Department. See Piano Policies.
- All rooms are required to be returned to their neutral set up at the conclusion of every event. This is to make certain rooms are properly prepared for classes.
Room/Building Use Policies
- Room use is for SMTD faculty and students only. Students looking to book space for extra-curricular activities must have an SMTD faculty sponsor.
- U-M is a tobacco-free campus. Tobacco use is prohibited in all University buildings, facilities and grounds. See: tobaccofree.umich.edu
- Smoking is PROHIBITED in all University buildings.
- No alcoholic beverages are to be served or consumed on University property.
- No pets of any kind are permitted within the building.
- Certified service animals that assist people with disabilities are permitted as required by law. Documentation regarding the need for a service animal, as well as what services/tasks they perform, is required
- All rooms are required to be returned to their neutral set up at the conclusion of every event. This is to make certain rooms are properly prepared for classes.
- According to the Bylaws of the Regents of the University of Michigan, the following activities are prohibited in places of public assembly:
- Raffles
- Donations/Solicitations of Funds
- Selling of Memberships
- Items for sale at events are generally not allowed. If permission is given, it will be in conjunction with and only upon completion of a Sales Permit. This sales permit acknowledges the Lessee’s obligation to pay Sales Tax to the State of Michigan. Failure to produce a valid sales permit at the time of sale will result in the revoking of the sales privilege.
- No live flames, including candles, oil lamps, cigarettes, or incense, and effects requiring explosive charges, foggers, or haze are allowed in the building. Live trees, garlands, and wreaths are not permitted. Please be advised that the University’s fire-safety regulations are strictly enforced.
- There is to be no affixing anything to walls and draperies by screws, nails, or tape anywhere inside or outside the building without express permission.
- As mandated by the University Fire Marshall, audio/visual, lighting, or sound equipment must be kept out of aisle ways and of the areas designated for patrons using wheelchairs. Exit signs may not be turned off, covered, removed, or altered in any way. All exits must remain clear of blockage by any scenery, props, seating, or other objects while the space is occupied.
- The use of confetti and glitter is prohibited, due to the difficulty of cleaning. The Facilities Manager must approve any exception. Unauthorized use will be subject to extra custodial charges.
- No activity is allowed that would scuff or damage the floors. This includes dragging chairs, tables, blocks, doors, and other props across the floor.
- No construction or painting is allowed in the rooms other than that which is required to install previously constructed scenery, properties, or lighting equipment. When construction or painting is necessary, precautions must be taken to prevent damage to the theatre and its contents. No nails, screws, or related fasteners are to be inserted into the walls, floors, or other parts of the room.
- Wheelchair-accessible spaces must be held for physically challenged patrons until one hour before the start of a performance, or until such time as all other permanent seats are sold out. These spaces should be sold on a “first-come, first-served” basis, and these requests should include the space for the companion seat.
- Reservation time includes all set-up and strike time. Unless otherwise permitted, rooms must be vacated, cleaned, and locked at the end of your reservation time.
- In order to accommodate many users, rooms may be occupied only at times that have been previously arranged and agreed upon. It is at the discretion of the Facilities Manager to accommodate last-minute change-of-access requests.
- For the Newman and Towsley Studios, the occupant must provide their own production team of designers to use the lighting and sound systems. Proper use and maintenance of the equipment will be ensured by requiring that the occupant’s production team schedule a production meeting with the Studio Manager upon booking.
- Any campus filming must adhere to the U-M Film Office guidelines.
- Occupants will provide their own scenery, costumes, properties, musical instruments, miscellaneous equipment, and any tools necessary for their installation and removal for all independent and non-curricular projects. Guidelines for all curricular and departmental events in the Newman Studio are outlined in the Newman Studio Technical Rider.
- Occupants will leave the facility clean and deposit all discarded trash in proper receptacles. Extra cleaning required to put the theatre back in condition for the next group will be billed to the person who booked the space. The booking party agrees to pay costs associated with extraordinary custodial cleaning at the Facility Manager’s sole discretion.
- Occupants shall be responsible for all damage to, or misappropriation of, the premises or any part thereof, including contents and furnishings of any building, and shall pay and reimburse the University for any such loss or damage.
- Occupant agrees to indemnify and hold harmless the University of Michigan, its Regents, Directors, Officers, and employees for any claim that may arise due to the negligence of occupant.
- Willful failure to follow any of the listed conditions and rules may result in being barred from future bookings.
Building-Specific Policies: Rooms, Keys, & Pianos
Stearns Building
- When available, classrooms in the Stearns Building may be used for practice with the following restrictions.
- Reservations may be requested up to 21 days in advance.
- Classrooms may be reserved for rehearsals or recordings for up to 3 hours per day, up to a maximum of 6 hours per week, per student.
- Last minute bookings may be made up to 12 hours in advance and do not count against this limit.
- Room 104C (conference room) is a personal space.
Burton Memorial Tower
- Access to BMT is restricted on evenings and weekends. Individuals who need Mcard access for evening and/or weekend activities should contact SMTD Facilities
- Propping the exterior doors open is prohibited

Locker Information & Policies
Moore Building Locker Information
Lockers in Moore are requested by submitting a Locker Form. Filling out this form does not guarantee you will receive a locker. Requests will be filled on a first-come, first-served basis based on locker availability.
- Only one locker is allowed per student unless a request has been made and approved for additional locker/s. Violation of this or any other rule will result in loss of all locker privileges.
- Priority will be given to SMTD students who are instrumentalists, specifically brass, string, and woodwind. Percussion students may apply for a locker. Non-instrumental music students may apply for a general-sized locker.
- If you are not an SMTD student, you may request a locker after the third week of classes.
- Unassigned, instrument-designated lockers will be made available for assignment after the third week of classes, on a first-come, first-served basis. Students should submit a Locker Form.
- Music Education students taking secondary instrument classes may request a larger locker on a term-by-term basis.
Students who wish to retain their locker for the following academic year, should submit a renewal request via the Locker Form by May 10. Lockers which have not been renewed will be emptied and contents discarded.
- Students graduating in fall or winter terms must clear lockers of contents by Commencement of that term.
- All other students must clear lockers of contents by May 15.
Please Note:
- There is no storing of food and/or beverage in lockers allowed or posting of any material on outside of lockers. Anything found posted to lockers will be removed by facilities or custodial staff.
- Please utilize the tackboards between the practice wing and Commons to post information such as flyers etc.
- Instruments are stored at the owner’s risk. SMTD strongly suggests that students carry their own insurance against any loss. The University does not carry insurance for personal instruments and will not be held liable for damage or theft from lockers.
- SMTD reserves the right to open any locker should appropriate circumstances arise in accordance with University and SMTD policies.
Dance Building Locker Information
- Locker rooms are accessed by Mcard only. Lockers in the Dance Building can be requested by emailing [email protected]. Priority will be given to dance majors and minors. Users must supply their own lock.
Walgreen Drama Center Locker Information
- Lockers are located in the Basement level for storage of classroom and other supplies. Users must provide their own lock. SMTD reserves the right to open any locker should appropriate circumstances arise in accordance with University and SMTD policies. Should prohibited items (weapons, alcohol, etc.) appear in the user’s locker, SMTD will contact DPSS to report and remove the items.
