Dance Building Reservation Policies and Procedures

Dance Spaces

These spaces in the Dance Building are in ASIMUT, SMTD’s room scheduling system:

  • 1040 – Dance Performance Studio Theatre
  • 1020 – The Berg
  • 1080 – Rumelhardt Studio
  • 1060 – Granoff Studio
  • 1121 – Dance Conference Room

Rehearsal Reservations

Eligibility

  • Only dance students are able to reserve dance spaces at this time.
  • Department of Dance students, faculty and staff are able to reserve studio and conference room space in the Dance Building through ASIMUT.
  • SMTD or University faculty (outside the Department of Dance) may request use of a studio or conference room, but there is a separate process:
    • Send an email to [email protected]. The request will be reviewed and responded to within a few days.

Notes:

  1. Only dance students are able to reserve dance spaces at this time. Should our heavy pattern of space use change and open up possibilities, we are willing to reevaluate and adjust this policy in the future.
  2. If you are a Dance student, faculty, or staff, do not reserve dance spaces on behalf of non-Dance students or organizations.

Time Allotments and Timelines

  • Each student, faculty, or staff member may reserve a room up to 3 weeks in advance.
  • Each person is given a total “quota” of 10 hours on their account by default.
  • Concertizing senior dance majors are able to reserve rooms up to 4 weeks in advance. Their quota is extended to 20 hours on their account.
  • Reservations can be made for up to 3 hours at a time.

Last minute bookings

  • “Last minute bookings” are designed to encourage the use of rooms that remain open and available
  • These reservations can only be made within 12 hours of the desired time and can be made in addition to the “quota”

Cancellations

If your plans change, please be considerate of others and cancel your booking.

Important Notes and Guidelines – Rehearsal Reservations

  • The person on the room reservation is the responsible party for the space, the equipment, and the items in the room for the duration of the reservation. Any damages, loss of property, or additional cleaning fees incurred during your time in our studios will be charged to the student/faculty/staff member reserving the space.
  • SMTD staff reserve the right to cancel any reservation at any time. If we need to cancel your reservation, we will communicate that to you as soon as possible and try to find an alternate space for you to use, though we cannot guarantee an alternate space will be available.
  • If your reservation time is after 7:00 pm, you will need to use your MCard to access the dance building.
  • If you do not abide by these guidelines, we will revoke your access to reserve dance spaces for the remainder of the academic year.

Event Request Process

Event Request Form

  1. Fill out the Department of Dance Event Request Form to begin the request process. Requests do not convert into an event approval automatically. The form requires the following information:
    1. Desired space.
    2. Desired dates and backup dates (Department of Dance studio availability can be viewed in ASIMUT)
    3. Brief description of your project/event
    4. Event sponsor
    5. Production support needs
  2. Please keep in mind the following timelines, based on different priority groups:
    1. Dance faculty can apply to reserve event dates a semester ahead
    2. Non-dance faculty can apply to reserve event dates 8 weeks in advance
    3. MFA candidates in Dance can apply to reserve 8 weeks in advance
    4. BFA dance majors and dance minors can apply to reserve 6 weeks in advance
Who Event application reservation timing
Dance faculty Semester prior (May 1 for Fall semester; Oct. 1 for Winter semester)
Non-dance faculty 8 weeks in advance of intended event date
MFA candidates in Dance 8 weeks in advance of intended event date
BFA dance majors and dance minors 6 weeks in advance of intended event date
Non-dance students (grads & undergrads) Evaluated on a case-by-case basis. Nothing granted more than 6 weeks in advance.

Note: Applicants of any kind who are seeking advanced planning outside of the above should submit an event request form. If it meets the chair’s criteria and has their support, it will be added to the schedule outside of these established timelines on a case-by-case basis.

What Happens Next – Response Process

  1. The production team will review the request and respond within 14 days.
  2. Please be prepared for the following possible responses:
    1. Approved – next step is the production staff will initiate a meeting
    2. Pending – more information is needed (the event is still not approved)
    3. Denied – The event is not approved. Possible reasons include the timing, space availability, staffing, and/or the nature of the event. Note: If your request is denied, we will try to direct you toward alternate spaces within SMTD to try, though we cannot guarantee an alternate space will be available.
  3. If your event is approved, the production lead from the department will contact you regarding next steps.

Group-Based Priority Levels

There are 4 priority levels for booking performance events in the Dance Building. Please see below for reservation guidelines for each group.

Group 1: MFA Thesis Performances, Senior BFA Performances, Faculty-Led Productions

Dates for these productions are set by the end of the prior academic year. These are generally consistent from year-to-year.

Group 2: Faculty Research Projects & Student Independent Study Projects (Taken for Credit)

Once the Group 1 productions have been slotted into the Department Production calendar, research, independent study, and/or performance project-related reservation requests for use of dance studios will be considered on a first-come-first-served basis. The maximum length of time for these reservations is one week (load-in on Sunday, load-out on Saturday night).

  • Requests for the fall semester will be accepted beginning May 1
  • Requests for the winter semester will be accepted beginning October 1
  • Note: It may take several weeks to confirm a booking.

Use of the Dance Building studios for these projects is NOT guaranteed and is subject to availability.

Group 3: General Reservations - Dance department

Dance studios will be available for general event-related requests from Dance students, faculty, and staff beginning up to 8 weeks in advance, and are strongly suggested to be made no later than 6 weeks before the event date (e.g. On Oct 10, you could book The Berg or the Dance Performance Studio Theatre for November 21 & 22). The maximum length of time for these reservations is 2 days per project (approximately 10 hours).

Group 4: General Reservations - Outside Dance department

Please note: Due to the high demands placed on the dance spaces and limited staff, it is more challenging for the department to support outside activities. We will accept your application, following the above process, but it might not be feasible to accommodate.

  • Non-Dance Faculty: Dance studios will be available for general event-related requests from non-Dance faculty beginning up to 8 weeks in advance. The maximum length of time for these reservations is 2 days per project (approximately 10 hours). Any request made inside of 6 weeks is likely to be denied.
  • Non-Dance Students/Groups: Dance studios will be available for general event-related requests from non-Dance students/student groups beginning up to 6 weeks in advance. The maximum length of time for these reservations is 4 hours per project. Please understand that these requests are the lowest in terms of our priority list.
